Rental Price Schedule Exceptions Enhancement

Overview

System Five now supports rental rate price schedule exceptions. The new options will now allow the user admin to setup rental price schedule exceptions that can be applied to all rental categories. This extends the price schedule functionality by introducing rental price schedule exceptions. Rental clients will have the option of using rental price schedules when choosing a price schedule for a new customer. The rental price schedules will allow the user to assign preferred pricing to select customers via the price schedule on rentals and labor. Customers looking to use this enhancement will be rental customers looking to provide preferred/different pricing to select customers of theirs for rentals and possibly labor. Customers will gain the most benefit out of this enhancement if they have a good understanding of how price schedules work and make use of price schedules within the System.

Requirement

• Must be using Rentals and have Price Schedules
• Must be running versions 6.2.4.45 for General Public Release and 6.2.7.567 for Beta Customer

• Setup Wizard > Rental Settings > Rentals. Please see screenshot below.

How it works

Rental Category exceptions apply to Sales of Rental Items Only – This is the default option and is what currently exists. If you add a category price schedule exception to a customer, the category price schedule exception is only for the Sales of Rental items.

Rental Category exceptions apply to Rental Items Only – Category price schedules for Rental categories will only apply to the rental of the items, not the selling of the items.

Rental Category exceptions apply to Rentals and Sales of Rental Items – Category price schedules for Rental categories will apply to both the rental and the sale of rental items.

The customer price schedule exception screen will look like the photo below. The blue text will show the option selected, and will only show if rental categories exist. Rental Categories will show in blue. More info is shown in the screens text.

Supplier Price Schedule exceptions do not apply to rental prices.

So, for example when you setup a rental item with different SELLING and RENTAL price levels 0 and 1, with different prices for each, and you have setup 2 customers, customer 1 with rental price exceptions, and customer 2 with no price exceptions. When you rent and sell a rental item to each of the customers for each of the options, they will get the correct rental and selling prices on an invoice (price schedule exception is applied as rental rate on invoice; part find will also show correct price). When you renew invoices, it is also expected that rental rates for the original and renewed invoices follow the price schedule exception set on customer's record.
